Doctoral student monitoring refers to the annual assessment of a student's progress in their doctoral program. This process involves reviewing their research plan and activity document. Both the doctoral student's supervisor and tutor must submit reports for this evaluation. This monitoring is essential to ensure the quality of research and the doctoral student's training.

At the time of formalizing the first enrollment for academic supervision in the program, the doctoral student, the EIDUS management, the doctoral thesis supervisor, and the tutor must sign a Documentary and Supervision Agreement (Agreement of engagement and supervision (EN)) which will include the conflict resolution procedure and address aspects related to intellectual and industrial property rights that may arise within the scope of the doctoral program and in relation to the doctoral thesis. Once completed and signed, it will be submitted along with the rest of the enrollment documentation. Subsequently, the secretariat will ensure that this agreement is signed by the EIDUS Management. If you are enrolled for thesis supervision, in case of requesting a change of Tutor or Thesis Supervisor, it should not be previously signed by the EIDUS Management in the process of requesting these modifications.

Before the end of the first year, counted from the enrollment date, the doctoral student, with the assistance of their supervisor and their tutor, will prepare a document that includes a research plan and a personal training plan.

The Research Plan (RP) will include, at least, the title of the doctoral thesis, the methodology to be used in the research, and the objectives to be achieved, as well as the means and temporal planning to achieve them.

The Personal Training Plan (PFP) of the doctoral student will contain a forecast of the different training activities that will be carried out during the doctoral thesis (courses, seminars, mobility actions, etc.). This document can be improved and detailed throughout their stay in the program and must be endorsed by the supervisor and the tutor. In the case of doctoral students with an Industrial Mention, the provisions of article 15 bis of Royal Decree 99/2011 (Consolidated Legislation) regarding the scientific-technical report will also be taken into account.

Doctoral students admitted from the 2023/24 academic year onwards must submit the Personal Training Plan (PFP) via RAPI, as an attached file, within the Research Plan section. E08. Personal Training Plan

A Doctoral Student Activity Document (DAD) will be enabled for each student enrolled in the doctoral program, consisting of an individualized control record of all relevant activities carried out by the doctoral student. It is carried out through the IT application that manages the Activity Register and the Research Plan (RAPI) for all doctoral programs (RAPI user manual for doctoral students)

Subsequently, during the doctoral thesis defense, the examining board will have access to the doctoral student's activity document, with the training activities carried out, and reports from external experts, as well as, where appropriate, the doctoral student's response to them. The activity document will not result in a quantitative score but will constitute a qualitative evaluation instrument that will complement the evaluation of the doctoral thesis. These three documents will be provided by EIDUS to the secretary of the examining board. (art 86.3 of the Doctoral Studies Regulations)

Annually, the academic committee of the program will issue the Research Plan (RP) and the Activity Document (DAD) along with the reports issued by the tutor and the supervisor. To this end, the EIDUS Steering Committee will establish a call for each academic year.

Doctoral students will submit evaluation requests through the RAPI IT platform. Subsequently, the tutor and supervisors will issue their reports (any questions, inquiries, or incidents regarding RAPI use should be directed to the Student Support Center: This email address is being protected from spambots. Based on the reports issued by the supervisor(s) and tutor, the academic committee will issue one of the following joint evaluations:

  • POSITIVE ASSESSMENT: successful completion of the joint RP/DAD evaluation submitted by the doctoral student. It is not possible to positively evaluate students who have not participated in the evaluation process and submitted the corresponding documentation via RAPI.

  • NEGATIVE ASSESSMENT:
    1.  Failure to pass the joint RP/DAD evaluation submitted by the doctoral student.
    2.  Non-submission by the doctoral student of documentation for joint RP/DAD evaluation. Applies only to students who are not on temporary leave or leave due to temporary incapacity.

  • NOT ASSESSMENT:
    1. In cases where the student is on temporary leave or leave due to temporary incapacity and evaluation is not applicable,
    2. Students who have accessed the program in the second admission period, and
    3. Students who, having requested the research ethics committee's report, have not received it by the evaluation date, with the evaluation being suspended until the referred committee's report is received (article 60.5 of NEDUS).

In case of a negative evaluation, which will be duly justified, the doctoral student must be re-evaluated within six months. Should a new negative evaluation occur, the doctoral student will be permanently withdrawn from the program.
